Cut the Volume: Who Needs to Receive this Email?

Recently, my friend attended a conference in Austin with a group of his sales colleagues. His manager arranged car pools from the airport to the hotel via email. This took a few emails to get everyone corralled.

The emails were sent to all the sales staff attending the conference, the company president and vice-presidents – everyone involved in the conference. Did the president and vice-presidents need to know how the sales staff would arrive at the hotel? No! They don’t care! They just expect them to be on time and in the correct place when the conference begins.

This is not an example of mistakenly directed emails (that’s an address error issue and you’ll find a very funny example in the link below). This example is about poorly directed emails, which are far too common. The higher up in an organization we rise, the more irrelevant emails we receive. Yet, it is easy to cut this unnecessary volume significantly: think carefully about how we address our email messages. It’s so simple, yet so often overlooked.
